A globally-listed insurance software company — building the policy and claims platforms that the world’s largest insurers run on — needed every room on its three Bangalore floors to behave the same way for a video call. Vantage Systems specified, supplied, installed and commissioned the full campus AV across 19 different room types from CEO office to a 67-seat training room cluster.

The Problem

67 rooms across 3 floors. Every one of them a different meeting experience.

A globally-listed insurance software company — running engineering, product and customer-success teams that ship policy and claims platforms to the world’s largest insurers — was taking over three new floors of a Bangalore tower. Headcount-wise this was a substantial campus: 67 rooms in total, across floors 6, 7 and 8, ranging from a CEO office and two boardrooms down to 4-PAX huddle pods and a BMS room.

The brief from leadership was deceptively short: “Make every room feel the same.” But the room types weren’t the same — they ranged across 19 different formats: small VC rooms (10 and 14 PAX), small non-VC rooms, training rooms, manager rooms, manager cabins, an escalation room, huddle pods, 2/3/4 PAX rooms, a cafeteria, three entrance displays, a CEO office, two boardrooms and a breakout area. Without a single AV partner running the whole rollout, the floor would have ended up as a museum of mismatched webcams, dongles and remotes — exactly the failure mode the leadership had seen in peer companies and wanted to avoid.

19 room formats, one company

Every floor had a different mix — small VC rooms, training rooms, manager cabins, board rooms, huddle pods. Each needed AV sized to it, but with the same daily UX.

Engineering economy without compromise

67 rooms means 67 chances to over-spec or under-spec. The customer wanted intelligent room-type tiering — premium where it mattered, smart simplification where it didn’t (e.g., swivel mounts in manager rooms instead of full motion).

Hybrid-first by default

A SaaS insurance company runs almost every meeting with at least one remote participant — from Tel Aviv, North Carolina, Sydney. VC had to be the default in every applicable room, not an afterthought.

What We Did

One AV blueprint with 19 sized variants — engineered floor-by-floor, repeated room-by-room.

Vantage Systems built a tiered, standardised AV architecture — a single design language across the campus with 19 sized variants. Every meeting room runs the same UX, but is right-sized in display, camera, microphone and presentation tier to its specific room type.

Floor 6 anchored by 4 huddle pods + 4 quick-discussion 4-PAX rooms + 3 small VC meeting rooms + 2 training rooms. Floor 7 hosting the CEO office, board room, escalation room and cafeteria. Floor 8 mixing 19 rooms including 3 manager cabins and the manage-services area. One blueprint, scaled per floor.

Smart cost engineering, not blanket spec

Premium full-motion mounts where they earn their cost (training, board, CEO). Swivel mounts in manager rooms — same visual outcome at a fraction of the cost. Shared DSP across paired training rooms on floor 6. Every line item justified.

VC by default in every applicable room

Three out of four small meeting room formats specced with video conferencing as default — small VC rooms (10 PAX), small VC rooms (14 PAX) and board rooms. Manager rooms, cabins, CEO and escalation room all VC-ready. The campus runs on hybrid by design.

Identical UX across 67 rooms

An engineer can walk from a 4-PAX huddle on floor 6 to the board room on floor 7 to a manager cabin on floor 8 and start a video call the same way every time. Zero retraining.

Smart cost-engineering — swivel mounts in manager rooms

Premium full-motion mounts only where they earn their keep. Swivel mounts in manager rooms gave the same daily outcome at a meaningful reduction in BOQ value across 7 rooms.

Shared DSP across paired training rooms

One DSP serving two training rooms at a time on floor 6 — clean engineering that removed redundant hardware without compromising audio quality.
